Privacy notice
Effective October 20, 2026
Valifolio is operated by DMS Consultation Inc. This notice explains the information collected through this website and its company-overview enquiry. It does not authorize access to your company’s underlying records or govern a future data licence.
Information you provide
We collect the name, work email and optional phone or website you enter, together with company name, country, industry, team-size range, operating history, available record history, record categories, system categories and your role. An optional enquiry message is collected if you choose to include one. We also record your enquiry reference, submission time and permission to contact you. Do not submit customer or employee records, financial account information, passwords or confidential files.
The AI guide
When you send a chat message, it and recent conversation context are processed through our server by OpenAI to generate a response. Please keep questions at company level and do not enter confidential records, credentials or personal information. We try to remove recognizable email addresses and phone numbers before sending messages to the model, but this is not a guarantee that all personal information will be removed. Use the separate enquiry form for contact details; its fields are not sent to the model.
DMS does not save the full chat transcript in its enquiry database. We request that model responses are not stored as retrievable API response objects. OpenAI may still retain content for security, abuse monitoring or other purposes under its applicable policies; this is not a zero-retention service. See OpenAI’s API data controls. The model has no access to our private enquiries, customer files, email or buyer systems.
The AI may suggest an editable company overview or question summary. Only the enquiry details shown on the review screen, including a summary if you choose to retain it, are saved and routed to DMS after your confirmation. Your full conversation is not attached. You can clear the conversation in your browser; it also clears on refresh or closing the page. This does not delete provider logs. Chat is optional: you can use the enquiry form directly.
How we use it
We use these details to assess the enquiry, contact you, keep a record of the conversation and operate and protect the service. Submitting the form does not subscribe you to a marketing list. A buyer introduction, application or operational-data disclosure requires a separate decision with you.
Service providers and disclosures
Website hosting and storage are provided through OpenAI Sites and Cloudflare. Enquiry notifications use Web3Forms and DMS’s email provider, Google Workspace. These providers process information to support delivery, storage, security and communications, potentially in countries other than your own. See Web3Forms’ privacy notice for its processing and retention practices. We may also disclose information where required by law or to protect legal rights. We do not sell enquiry information or share it for cross-context behavioural advertising.
Technical information and cookies
Hosting providers may process connection details, IP addresses and security logs. The forms and AI endpoint use short-lived hashed connection identifiers and counters to limit repeated requests and protect usage. Chat content is not written into these counters. DMS has not added advertising pixels, session recording or cross-site tracking to this site. Hosting and authentication services may use essential cookies. Form answers remain in the current page until submitted or the page is closed or refreshed.
Retention and security
We retain enquiries as needed to respond, maintain a business relationship and meet legal or recordkeeping obligations. The relevant considerations include whether discussions remain active, whether an engagement follows and whether a record is needed to resolve a dispute. Service providers may maintain separate retention periods or backups. Access to the enquiry inbox is restricted, but no transmission or storage system can be guaranteed completely secure.
Your choices
You can ask to access, correct or delete your enquiry information, or stop further contact, by emailing admin@dmsconsultation.com. We may need to verify your identity and may retain information where legally required. Applicable privacy rights depend on your location and the law. We will handle requests as required by applicable law without discriminating against you for exercising your rights.
